Trade Recruit is partnering with a well-established and growing business in Chiswick to recruit an experienced Office Manager. This is a key position responsible for overseeing daily office operations, scheduling, administration, and business support functions.
This role would suit an experienced Office Manager who thrives in a fast-paced environment.
Key Responsibilities
Office & Operations Management
- Oversee daily office operations and administrative processes
- Support senior management with operational coordination
- Improve systems, workflows, and internal processes
Scheduling & Job Management
- Schedule engineers and subcontractors
- Manage job allocation and emergency callouts
- Maintain and update job management systems
Customer Service & Sales Support
- Act as first point of contact for phone, email, and WhatsApp enquiries
- Book appointments and follow up on leads
- Support customer retention and new business opportunities
- Handle enquiries, complaints, and rescheduling professionally
Financial Administration
- Raise invoices and process supplier payments
- Support credit control and payment matching (QuickBooks experience desirable)
- Track job costs and assist with basic financial reporting
Compliance & Documentation
- Maintain certificates and compliance records
- Support health & safety documentation (RAMS, permits, training records)
- Manage warranty and service documentation
HR & General Administration
- Support recruitment and onboarding
- Maintain holiday records and payroll input
- Provide administrative support to directors
- Oversee office supplies and general operations
Skills & Experience Required
- 3–5 years’ experience in Office Management, Operations, Business Administration, or Logistics Coordination
- Strong organisational and time-management skills
- Experience using job management systems, CRM, or project management software
- Confident with Microsoft Office / Google Workspace
- Excellent communication skills
- Proactive, detail-oriented, and able to prioritise workload
